Regional Ambassadors Policy
The Rationale
At EGFR Positive UK, we have a lovely sense of community. The Zoom meetings have always been a great success and we have seen how much people enjoy meeting up with other members of the group. The intention is to extend this community spirit by facilitating members to meet in person and connect with like-minded people, to share experiences and support each other emotionally. The Trustees will select and announce the Regional Ambassadors for each region in the UK.
The Role
Regional Ambassadors will be volunteers who will co-ordinate, facilitate and host regional meet ups. Initially the meet ups will be in the form of lunches, but we hope that in time as the idea evolves, the events will become more diverse.
The Regional Ambassador will:
Attempt to organise, facilitate and host at least 6 regional meets a year. These will be held throughout their region and will include as many members as possible who would like to attend.
Prior to the event, the Regional Ambassador will 'advertise' their event on the EGFR+UK Facebook page, thus giving the members the opportunity to attend if they so wish.
After the event, the Regional Ambassador will post a synopsis of the event and post photos onto the EGFR+UK Facebook page. The Regional Ambassador will produce a one-page report for Trustees explaining what went well, what could have worked better and any concerns requiring attention.
In addition, the Regional Ambassadors will support the Trustees in advocacy, regional events, marketing and other activities of the Charity.
All Regional Ambassadors will abide by the Code of Conduct and other policies of the Charity.
Support by EGFR+ UK
EGFR+UK will run support Zoom meetings where ideas can be discussed.
EGFR+UK will provide a Β£20 subsidy for each member who attends the event. This will be paid as expenses.
EGFR+UK will cover the Regional Ambassadors' travel expenses, where applicable.
If a Regional Ambassador has any worries/ concerns regarding people's welfare/ mental health, EGFR+ UK can offer training in how to deal with these conversations.
The Marketing Trustee will summarise the feedback received in the Trustee operation meetings for discussion.
Submission of Claims
All Regional Ambassadors will provide details of their bank accounts where claim reimbursements are to be sent.
The Β£20 subsidy claim must be backed by number of participants list with name and email addresses along with food bill, where available.
Travel cost of Regional Ambassadors, where applicable, will be the train ticket/ invoice at standard class. Where the Regional Ambassador uses his/her own vehicle, a reimbursement at Β£0.45 per mile plus parking costs (with bill) will be provided.
In certain cases, subject to approval by Marketing Trustee, participant travel costs can be reimbursed if they have no local meet that they can join.
Claims are to be sent by email to finance@egfrpositive.org.uk to the Treasurer, copy to Marketing Trustee (marketing@egfrpositive.org.uk) using the Claim Reimbursement Form within 7 days of each event.
